The Committee Position Responsibilities
President Key Responsibilities
- Chairing committee meetings and the Annual General Meeting (AGM).
- Representing the Club at external meetings, including SAUCNA, or ensuring a suitable proxy is present.
- Assisting in dispute resolution in line with the Complaints Handling Policy.
- Engaging with potential sponsors and exploring sponsorship opportunities.
- Overseeing the registration and team selection processes.
- Ensuring the Club operates in compliance with relevant legislation, adopted Club policies, and member resolutions.
Vice President Key Responsibilities
- Chairing committee meetings and the Annual General Meeting (AGM) in the President's absence.
- Representing the Club at external meetings, including SAUCNA, or ensuring a suitable proxy is present when the President is unavailable.
- Assisting in dispute resolution in accordance with the Complaints Handling Policy.
- Supporting the President in ensuring the Club operates in compliance with relevant legislation, adopted Club policies, and member resolution.
Secretary Key Responsibilities
The Secretary is the chief administrative officer of Grange Netball Club. Key responsibilities include:
- Preparing agendas for committee meetings in consultation with the President and providing adequate notice, including arranging venues
- Calling for and receiving nominations for committee positions prior to the AGM or to fill casual vacancies
- Taking and distributing minutes after each meeting.
- Responding to Club correspondence addressed to the Secretary.
- Sending out necessary communications via Marketing channels and administering PlayHQ.
- Maintaining important documentation (e.g., the constitution, member register, etc.) through Google Drive.
- Fulfilling any other obligations of a secretary under relevant legislation or the Club's rules.

Treasurer Key Responsibilities
The Treasurer is the chief financial management officer of Grange Netball Club. Key responsibilities include:
- Preparing and closely monitoring the Club’s budget.
- Issuing invoices and paying accounts as authorised.
- Ensuring the Club's financial records are properly maintained.
- Keeping accurate records of all payments, receipts, and expenditures.
- Presenting the Treasurer’s report at committee meetings.
- Coordinating the preparation and certification of financial statements for the AGM.
- Preparing cost per player reports
- Fulfilling any other duties of a treasurer as required by legislation or the Club's rules
- Fulfilling any other obligations of a secretary under relevant legislation or the Club's rules.

Registrar Key Responsibilities
The Registrar is the person who coordinators all new registrations and registration enquiries for Grange Netball Club.
- Be the primary point of contact for the Club in relation to all registration matters, including providing information to committee and grading committee.
- Handle any onboarding queries for new or prospective members
- Work with Secretary to collate team sheets in registration pack, add teams into PlayHQ and ensure that all players are assigned correctly to teams;
- Fulfilling any other obligations of a secretary under relevant legislation or the Club's rules.
Child Safety Officer Key Responsibilities
The Child Safety Officer plays a vital role in ensuring the safety and well-being of children within the Club. This position involves developing procedures to minimise risks to children, providing education and advice to coaches, administrators, and members, and promoting child safeguarding policies and procedures. Key responsibilities include:
- Collaborating with the Club to create and implement procedures aimed at reducing risks to children.
- Educating coaches, administrators, and club members about child safety policies, procedures, and best practices.
- Offering guidance and advice on child safety matters when needed.
- Understanding the importance of conducting appropriate screening processes for members working with children, including working with children checks are completed and kept updated.
- Having a strong knowledge of SAUCNAs Child Safe Policy.
The Child Safety Officer is essential to ensuring that the Club fosters a safe and supportive environment for all children, while staying compliant with legal and policy requirements.
Coaching Coordinator Key Responsibilities
The Coaching Coordinator oversees the effective management of coaches and provides mentoring and training. Key responsibilities include:
- Communicating with coaches about training schedules and game day availability.
- Offering training opportunities to help coaches enhance their skills.
- Reporting coaching-related matters to the Committee.
- Mentoring coaches in skill development and identifying potential new coaches
Umpire Coordinator Key Responsibilities
The Umpires Coordinator is responsible for organising and coordinating all umpiring activities within the club. Key responsibilities include:
- Managing all Grange umpires for the winter and summer seasons.
- Scheduling umpires for each team’s games.
- Providing updated umpire rosters to the committee at the start of and throughout the season. Maintain the umpire database with contact information.
- Encouraging and organising training opportunities for umpires along with our umpire development officer.
- Submitting umpire payment details to the Club Treasurer.
- Liaising with the SAUCNA Umpire Coordinator.
- Updating the committee on any umpire-related issues or feedback at meetings including a report for the AGM
Trial or Team Selection Coordinator Key Responsibilities
The Trial or Team Selection Coordinator is responsible for overseeing the team selection process and ensuring smooth operations during trials. Key responsibilities include:
- Coordinating team selection dates for the upcoming year and booking courts.
- Obtaining a list of registered players, including their preferred positions, from the Registrar.
- Recruiting selectors, managers, and runners for each age group.
- Planning the trial format and sourcing umpires.
- Preparing team selection sheets for each age group, ensuring all players participate in three (3) 10-minute quarters in their preferred positions.
- Organising necessary equipment for trials (e.g., balls, bibs, cones, folders, trial sheets, pens).
- Managing the team selection process during trial days to ensure everything runs smoothly.
- Liaising with selectors and trial managers throughout the process.
- Collecting completed trial sheets and providing them to the Secretary to notify players of their placement.
- Reflecting on the trial process to improve for the following year.
- Completing affiliation forms for SAUCNA.
- Assigning teams to players in the database.
Canteen / Stall Coordinator Key Responsibilities|
The Stall Coordinator is responsible for managing the food and supplies for sale at the Club in winter season only. Key responsibilities include:
- Purchasing food items for sale, including water, soft drinks, chips, chocolates, and lollies, along with replenishing stock as needed.
- Acquiring non-perishable items such as toilet paper, paper towels, soup/coffee cups, serviettes, and zip lock bags, with initial purchases and additional supplies as required.
- Meeting with team managers at the beginning of the season to explain their roles and responsibilities during their scheduled stall duty.
- Send emails to inform team managers assigned to canteen duty for the upcoming Saturday.
Score Card Coordinator Key Responsibilities
The Scorecard Coordinator is responsible for managing the collection and entry of scorecards for the Club. Key responsibilities include:
- Maintaining procedures for scorecards and advising coaches and managers of the processes.
- Collecting and collating all scorecards in winter and following SAUCNA process for administering scores.
- Following up teams for scorecard issues.
Equipment Coordinator Key Responsibilities
The Equipment Officer is responsible for managing all equipment for the Club. Key responsibilities include:
- Liaising with team managers and coaches before the season starts to ensure each team has the necessary equipment (e.g., netballs, training bags, first aid kits).
- Working with the Coaching Coordinator to order any required equipment.
Social Media & Website Coordinator Key Responsibilities
The Digital Coordinator is responsible for managing Grange's digital presence and addressing IT-related issues. Key responsibilities include:
- Collaborating with the Website Coordinator to manage website-related concerns.
- Resolving issues with platforms and software used by Grange, TeamApp and Gmail.
- Assisting the Secretary with maintaining documents on Google Drive.
- Overseeing posts on Facebook and other social media platforms.
- Maintain and update Grange's website including promotion of upcoming events, processes and policies.
